Nursing Orientation

At our nursing orientation we provide glucose meter training, since this device is used pretty much everywhere.  The other tests, such as Avox, ACT, training is provided on the units by unit trainers.
I would be interested in hearing what everyone else does at nursing orientation.  If you provide hands on training, do you keep all the 
training checklists?  Do you also make copies for the nursing managers to file in their personnel files?  
Does anyone have an electronic process to eliminate paper training checklists?

At our facility I also provide glucose meter training on Orientation Day 1. I also do ALL other POC training. I split it over three days depending upon what training needs to be completed. 

I scan the training packets and attach them to my Telcor QML middleware. This feature is very handy to pull up training documents for inspectors and I'm not weighted down with mountains of training packets.  The original training packets are then sent to our HR department that files them.  Our nursing managers to do keep this data on the wards, only in HR.

We conduct all POC training the afternoon of orientation.  It is all hands on and observe by a POCC. We have paper training documentation that we scan and file electronically.  We do not provide HR or unit managers with copies unless they are requested.  

Each department is a bit different here. Some will utilize the POCT team, some will handle training themselves. We usually handle the units have have the maximum number of testing platforms. We use MediaLab for our training documentation. It keeps up with competency due dates (including the semiannual ones), sends emails starting a month before the due date to both the tester and the educator, and allows unit educators to pull up any competency they may need for their records. No paper documentation to keep up with. (I celebrated discarding the last of my paper documentation binders once 2 years under MediaLab came!). We also keep our procedures in MediaLab which links to our hospital policy software, allowing staff the most up to date version without having to track down obsolete ones. Yes, I am a MediaLab groupie. :)

We require all staff who need glucose meter access to complete an online training course during orientation. Once they get onsite, they meet with their unit educator who answers any questions and watches them run both levels of QC. Once that's completed, the educator informs POC, and we enter their access in the system. Records of this are all electronic and can be accessed by POC or unit leadership as needed.
For other waived testing we also assign an online training course. Once they have completed the course a unit trainer or POCC meets with them to answer questions, watch them perform QC and then device access is granted. We do have a one-page paper form that is completed during the session and POC keeps these forms on file. 

We do nursing orientation over 3 days broken down by Nursing Assistants, Nurses and ED staff.  We train them based on the POCT that is done on their unit.  We don't have any paper checklists, but we do have them complete their POCT modules in the learning system (NU) before we give them full access.  When we assign them in QML we give them a 2 week exp date, that allows time for them to do orientation and their NU modules.  Once they complete Orientation and NU we give them full access for 6 months or a year depending on complexity.  We don't send anything to HR and for nursing the only thing we send is a monthly spreadsheet that tells who's going to expire when and on what.
If new employees don't come to Orientation, then they are trained on the units.

We have Nurse and PCA glucometer orientation. Then we also have nurse iSTAT orientation. They get to do hands on and a quiz. We scan in all competencies and keep them electronically. We send the nurse managers all the originals. We also have training modules online via ALC (Advanced Learning Center). This is for anyone who needs training outside of our orientation classes. They have to call us to schedule the hands on portion. We also use Sign- up Genius. There we can schedule dates and  times we are available. We created a QR code linked to Sign-up Genius that they scan when it's time for their iSTAT competency. It sends us an email when someone has signed up. This has been a game changer. We always have around 50 users a month that need iSTAT competency. Now we don't have to chase them all down. It helps put the responsibility back on them to get it done.

Carrie - I'm very interested in this Sign-up Genius idea!  Do the staff just sign up after they get their expiring soon message on the analyzer?

Angie- Yes, but we also send a list once a month to the operators who will being expiring the next month to give them a heads up. 

I orientate all nurses on their first day.  Waived operators get a powerpoint and non-waived gets hands on in the unit.  I have electronic exams for initial, six month, and annual and I can email, text, or have QR codes for them to do on the PC or cell phones.  I also use Calendly so operators moving from one unit to another can schedule training with me.  Every two weeks I send an email to all operators expiring the month of and next month.  In the emails I give them the link to the online exam and link to Calendly for non-waived that require a direct observation.  I summarize this once a month for nursing directors.  I absolutely hate paper and this helps keep everyone honest because the electronic exams are saved on the site.  I can easily search through each exam type.
