QC logs for waived tests: hard copies or scanned copies for TJC inspections

We are wanting to switch from keeping 2-3 years of waived QC/Maintenance logs in on-site storage to scanning them into an online shared folder. Does anyone know if TJC will accept storing the logs electronically or do they require them to be hard copies on site? I would think it would be ok as long as we can access them and print them if needed in an inspection.

I believe you just have to be able to provide the documents should an inspector ask for them.  As long as the online folder was accessible during an inspection to pull up the required QC records, it should be acceptable.  I have some units who when the month ends scan in their QC logs to a folder on their computer and dispose of the paper copies so they don't have them taking up storage space in a notebook.  I just make sure they are aware that they must be maintained for a minimum of 2 years, no matter how they choose to store them, paper copies or electronically.  We haven't had an issues that I am aware of with using this process.

Last TJC inspection we had a shared drive created for the facility and we were encouraged to create a folder and put copies of our files in there.  I had pdf of operator manuals with maintenance instructions along with my scans of documents.  It was all accepted by inspectors and no hard copies were ever requested.
