Anyone have any handy tricks you have learned to use to help keep track of operator competency assessments?
None of my middleware solutions can handle all of them adequately. 
Especially when it comes to six-month assessments and direct pt testing observations....
sticky notes everywhere? My office is starting to look like a crazy person's...

We use excel files to manage the dates. See below for an example, I did remove all the names. We have a tab for each testing location and if a location has more than one moderately complex test, we keep them all on the same sheet. Conditional formatting allows for the yellow boxes when we have "Due" or the peach color when blanks are present to draw our attention.

We set it up in Telcor and recently we have started to work it into Workday to send reminders to the users.

RALS has a pretty decent competency management system.  You can document who did an observation and it also has a quiz function.  

I would like to piggyback on this question and ask everyone what POCT middleware ya'll are using and if you utilize it for competency tracking and/or assessment.?  We are in early stages looking into more robust middleware solutions.  We currently have uniPOC; competency tracking and assessment is handled separately utilizing an LMS system and a series of spreadsheets similar to the one Chelsie Ross posted.

I currently have my rosters in OneNote (table) which offers some pros/cons compared to Excel.
Pros-
  • I love that I can search the operator ID/employee ID and it will search through all of my OneNote notebooks and tell me where that info is located.
    • I have a (OneNote) "Notebook" for each hospital location, then different "Sections" for each POC test platform and separate "Pages" for each department
    • Sometimes an operator will transfer to another department so it's helpful to be able see if they are already listed somewhere via search fxn.
  • Can utilize To Do tags or flag something with an Outlook Task to remind about due dates
  • Can drag and drop files directly into the spreadsheet (diploma, scanned direct observation paperwork, etc.)
Cons-
  • If copying a line from one table to paste into a different table, it must have the same number of columns to format properly
  • Files you drag and drop into the table show up as an icon that is larger than I would prefer - stretches the table out too much.

Our lab manager just recently put the lab staff roster into Microsoft Lists to track competency and it seems to be working well so far.

We use Telcor, we do use user lockouts, but we have found it was easier for us to use the combination of the excel document and QML operator management. We could probably create a better filter in the certification Q to show the same information, we have just never gone that route.
