Meter and manual entry access

I was just told that we will be getting a new employee badge system. The unfortunate part if that every time someone gets a replacement badge, it will change the barcode and number on the back. The numbers used to be re-assigned if a new badge was printed. 

I have Telcor and we are completely interfaced. The new badge number will feed over to Telcor from the elearning system. But that does not auto update the fields that control WebMRE access for manual entry. The Hemocue software still has manual operator update so that would need to be changed manually as well. Also, any ACT or AVOX user would have to have their number updated manually in potentially 14 meters. 

Any tips on what to do? Has anyone stopped using the hospital assigned random badge number and uses the employee ID number that would never change? Then they would have to print a barcode for that though.

Fortunately none of our badge numbers change.  We have an employee ID and a KRONOS (time clock) ID.  We use KRONOS as a permanent operator ID.  The reason for this is the employee ID has 8 digits, the same as patient IDs.  KRONOS uses 12.  That way a patient ID cannot be inadvertantly be used for an operator ID.  We do not allow manual entry of operator ID on any instrument we have that has a barcode scanner.

We use the unique Employee ID number. Currently, I make the barcodes on a sticker that goes on the back of their badge. Our hospital is moving towards a badge system that will encode the Employee ID number on the badge itself. Our patient IDs have a leading AC before the account number so an employee number can not be scanned for a patient number. 

We have 2 barcodes on the back of our badges, employee ID and KRONOS.  When we got these badges, we found it was difficult to scan the KRONOS (operator ID) since there was a security overlay over the bar code, the badge is shiny and there isn't enough dead space between a box enclosing the barcode. Despite all that,  many of our nurses figured out the scan, but if someone has a problem I make a barcode for them.  I have to put it on a separate card for them since the back of our badge is already full. If you can, get a sample of your new badges and see if they will work on you POC instruments.  Our iSTATs will scan everything, but Freestyle glucose meters are picky....they don't like shiny surfaces!  
If you can, ask for input about badges.  I found many years ago, HR did not realize how much we used badges for POC.

Telcor has a function for Supplemental ID.  That way you can still have a single profile for everyone and you can keep the certification history. Click on the Operator/Device Parameters section in each user profile and make sure the new ID number is added for each device flowing thru Telcor.  Unfortunately you may have to update the Hemocue app separately as Telcor is just a pass-thru for us.  Also you cannot search the Operator list using a supplemental ID; you will need to search with the user's name.  This worked for us when we changed employee numbers.

Our badges have barcodes on them that are the employee number which never changes.  They also have a badge number printed on them in case they need replacements which can change.  We have our OIDs set up as the employee ID in QML.  
Might be a shot in the dark but maybe you could ask if they could have the employee ID as the barcode.  Good luck!

Some Hospitals have an application that will auto transfer new employee date, name and ID, directly into interfacing systems. You might want to contact your IT to see if it is an option.
