Automatic Operator Certification

Does anyone have a system in place where operators are automatically updated if they run QC, passes an exam, etc.?  We have over 3000 users for the glucometer, and it would be nice if current staff could be annually recertified without having to turn in a lot of paperwork. If so, can you tell me what you use, what middleware you have, what meter you use and the pros and cons of this software? Thanks in advance.

We have Telcor and automatic re-certification when staff complete a set of QC at least once every 365 days. I have a quiz that I have them complete annually in our LMS, but I then have to run a report and then manually remove testing privileges of anyone who has not completed it. I know that Telcor has the capability of connecting to your LMS.

I also use Telcor and the automatic re-certification. I am getting the Telcor eLearning module in the next budget to automatically check education fulfillment. Really looking forward to that piece!

I am very interested in this topic.  We use Telcor, however operator lockout for our AccuChek Inform II meters is done through Cobas Infinity.  Does Telcor send the automatic re-certification downstream to Cobas?

We also use Telcor and recently added the e-learning interface to allow for auto-recertification. The other requirements are both levels of QC and a patient test. It was fairly easy to get setup.

We have about 400 operators - Nova Statstrip & RALS (Abbott).  Recertifications are automatic once operator completed exam in the eQuiz section of RALS and performs both levels of QC within in a 3 month period of the exam. Easy to setup.
Seamless but pricey!

RALS is a middleware that allows POCCs to setup auto-recertification for their POC users. The POCC sets the criteria, QC, patient, eQuiz or combo of any of these. There is also an option to setup a "specific" ID for patient testing. This specific ID can be used for initial training and annual competency. We used "Initial" as the initial training ID and "Annual" as the annual training ID. We keep these IDs in the POC office and nurse managers the only way staff will update is to use these IDs and perform QC. If they faile to complete all tasks, they do not update. RALS auto recertifies staff each morning at 0100 ETZ and the POCCs can run the auto-recert as well. 

We have Telcor and have the auto recert set up for our Nova Statstrips, Freestyle Ketones, DCAs, Piccolo and Cliniteks.  We did it for any of our waived instruments that directly connect to Telcor except the Xpress.  That's too expensive to waste cartridges on fake patient tests lol.  We have it set up so the operator has to do a QC and a fake patient (using one of our competency barcodes) at some time during the year and it will auto recertify them when their certification date comes up.  We just changed back to auto rect in 2022 so it makes it alot easier for the operators to recert on their own without the super users having to chase them down.

I understand that if you have RALS the eQuiz education modality can track certification requirements and update certification.  We are currently looking into this.

I would like to add on a follow up question for those using Telcor auto-certification. 

We recently found out that Telcor only looks to see if QC was done, not if it passed. So operators may certify on failed QC if they don't repeat it. You can set Sample Exclusions, but not every device sends the right type of information for this to work. Specifically for the Piccolo and the Coaguchek - these devices are currently not sending any message/comment or even flag to denote that QC failed. 

Has anyone else run into this? 

We use Telcor auto-recert for all our testing. We have it set to look for annual elearn course completion and annual competency fair completion (set up as an elearn course  - course is passed if each POC demo station is completed and signed off). We use to have definitions for # of QC and patients each year and that just didn't work for us. With 2000 glucometer operators, including travelers, not everyone is going to even run QC in the real world during the year. We do make them demonstrate this at comp fair in person. 

We use RALS and autocertification...they must complete the exam and run both level of controls. The exam used is within a different module but RALS has the ability to upload exam dates using LMS File-based Integration. I upload the exam dates manually using excel on a monthly basis. We have a lot smaller volume of operators so manual upload made more sense for us.
